Official Title:       Associate Administrative Specialist

POSITION SUMMARY

Responsible for activities that support Wisconsin Public Radio’s Corporate Development Department in a sales team environment. This position includes oversight for internal and external client and prospect communications and servicing; development and maintenance of databases; financial record-keeping and income reporting and administrative support. Reports to Manager of Corporate Development.  

DUTIES & RESPONSIBILITIES       

  1. Provide friendly, professional and timely support to traffic and sales team.
  2. Maintain and update database of corporate clients and prospects. Prepare reports, search and sort material in databases for analysis, renewals, mailings and other marketing activity. Insure accurate client information, profiles and history. Execute activity checklists.
  3. Review underwriting announcements, promotions and pledge spots to ensure quality control of on-air sound.
  4. Provide research support for client prospecting, viewership data and audience profiles, using such software programs as TAPSCAN, Media Audit and other applicable databases.
  5. Create and/or edit materials, such as production proposals, program inventory descriptions, marketing collateral, newsletters, client correspondence and recognition lists.  Prepare, assemble, organize and merge material and execute mailings. Prepare materials and provide support during meetings and special events as necessary.  Create and/or edit Corporate Development section of Web site and electronic newsletters and maintain distribution lists for e-news. 
  6. Provide communication and liaison to other key participating organizations and station departments including ECB, UWEX, WPRA, accounting, audience services, development, programming, marketing and production.  Insure in-house paperwork and communication takes place. Support the development efforts of WPR management and committees. 
  7. Provide external clients with telephone customer service including response to inquiries, solicitations and acknowledgement of client activity.
  8. Develop, maintain and edit schedule grids. Inform department of schedule changes that impact underwriters.
  9. Maintain, update and distribute financial records and reports, review invoicing and provide analysis and responses internally and with ECB, UWEX and WPRA.  Provide support including written and telephone communications in response to inquiries.

Other Duties

  • Provide back-up to the Traffic Manager and Underwriting Coordinator as necessary
  • Assist Corporate Development Director as needed

ESSENTIAL JOB FUNCTIONS

Accurate data entry and analysis using diverse data sources

Provide copy approval and assist in copy writing for on-air announcements

Compose clear and compelling letters, descriptions, newsletters and other marketing materials; prepare and/or edit forms, agreements and other data.

Compile financial information and interpret and analyze audience data and other research

Clear, helpful and productive communication with clients, staff and external contacts.

Ability to work at a computer for extended periods of time

QUALIFICATIONS:

  1. Minimum two or more years of full‑time experience in administrative support for fundraising, corporate development, sales support or related administrative support.
  2. Demonstrated success in maintenance and support for customer/client databases.
  3. High level computer skills including experience with common office applications and databases.
  4. Superior/effective oral and written communication skills, including writing/proofreading experience.
  5. Extreme detail orientation.
  6. Self-motivated, ability to work independently
  7. Demonstrated ability to effectively engage diverse perspectives and experiences in work product and in organizational interactions.

DESIRABLE BUT NOT REQUIRED QUALIFICATIONS

Experience with desktop publishing software and layout 

Understanding of database functioning and management 

Experience with Web Content maintenance  

Familiarity with sales environments

Experience working with qualitative and quantitative data.

Two years of experience in television/radio/media or non-profit organization 

SALARY
